e-Reserves - FAQs for Faculty & Students

1. What are e-Reserves and how can they benefit my students?

The e-Reserves system allows faculty to place course materials on the Web so that they are accessible to their students 24/7 to view, download and print.

The e-Reserves system accepts and displays documents that you provide in print or electronic format to staff at the d’Alzon Library. When submitting your e-Reserve materials to the library, you must indicate if you wish them placed on your Blackboard course site or made available via the library’s online catalog. Assumption students can access these materials from any computer on campus or off campus. Depending on the location of your e-Reserve materials, students will be required to login to Blackboard or the library’s catalog to view e-Reserves.

2. How will my students access these e-Reserves?

A. For e-Reserves placed on the Library site:

  • Go to the Library home page: (http://www.assumption.edu/dept/library).
  • Select CATALOG from the menu in the left-hand column. This will link to the full catalog search screen.
  • Click on the Course Reserves tab, then select the name of the professor.
  • Click on the Search button.
  • All reserve items that meet the search criteria will be displayed. This includes items in print as well as online e-Reserves.
  • e-Reserves are identified by the library location: Online.
  • Click on the line number to display the catalog record, and then select the CLICK HERE FOR ARTICLE link.
  • Log in using last name and the ID barcode number.

B. For e-Reserves placed on Blackboard:

  • Log into your Blackboard account to access your course.
  • Follow the instructions provided by your instructor.

3. Will all my students be able to access my e-Reserve materials?

Yes. All students enrolled in your course will be able to access e-Reserve materials on your Blackboard site and/or on the library site. If students encounter problems accessing Blackboard materials, they will need to contact the IT help desk at x7060 and if they have trouble accessing e-Reserve materials on the library’s catalog, they will need to contact the Library Circulation desk at x7271.

4. What can be placed on e-Reserves?

Examples of items that can be placed on e-Reserves include: syllabi, exams, lecture notes, journal or book chapters, study materials, articles from databases, web sites, etc.

If any articles you wish to place on e-Reserve are already available in a database to which the library subscribes, we will create a direct link to the database article. Because we subscribe to these databases, copyright permission is not required to access these materials. If you have any questions about the full-text availability of your materials, please contact the Reference Department at x7273.

5. How do I send materials to the Library so that they will be posted as e-Reserves, and how long will it take?

  • Attach a completed e-Reserve request form to each item you wish to place on reserve.

  • Submit the e-Reserve material to Janice Wilbur as a clean photocopy or send to jwilbur@assumption.edu as an email attachment. Adobe PDF format is preferred for electronic files. No faxes please.

  • When submitting photocopies, please keep these guidelines in mind:
          o Pages should have a ½” margin on all sides to prevent text from being cut off      during scanning.
          o Pages should be clean and free of dark edges.
          o Number each page
          o Do not staple pages; paperclips are okay

  • Individual readings over 50 pages will not be scanned and made available for e-reserve. However, these readings will be placed on regular reserve and made available for check-out at the library’s circulation desk.

  • To ensure that materials will be available when your students need them, please submit your materials well before the start of the semester (at least two weeks) and at least one week in advance of an assignment during the semester.

  • Readings can only remain on e-reserve for one semester before copyright permission is required. If you wish to use e-reserve materials more than once, you must notify the library at least 2 months in advance so copyright permission can be obtained. The library will cover costs at least until the end of academic year 2007-2008.

  • PLEASE make sure that the title/author of your e-Reserve article matches the entry on your syllabus. It is frustrating for students, and the librarian helping them, to look through multiple articles trying to figure out what the professor wants them to read.

6. How long will my e-Reserve articles remain posted?

e-Reserves will remain posted until the end of the semester.

7. What do I do if I want the article to be available in future semesters?

Readings can only remain on e-Reserve for one semester before copyright permission is required. If you wish to use e-reserve materials more than once, you must notify the library at least 2 months in advance so copyright permission can be obtained. The library will cover costs at least until the end of academic year 2007-2008.

8. What about Copyright?

The Emmanuel d’Alzon Library has chosen to follow the Fair-Use Guidelines for Electronic Reserve Systems developed at CONFU: The Conference on Fair Use. To view the full text of these guidelines, go to: http://www.utsystem.edu/OGC/IntellectualProperty/rsrvguid.htm.

These guidelines interpret fair use quite broadly, but they are clear in stating, “Permission from the copyright holder is required if the item is to be reused in a subsequent academic term for the same course offered by the same instructor.” Therefore, we will not re-activate e-Reserve materials unless permission has been sought and granted for their re-use. The Library has worked with the Copyright Clearance Center in obtaining permissions in the past and will be happy to assist professors in applying for permission. The library will cover costs at least until the end of academic year 2007-2008.
